What does a HubSpot implementation cost in 2026?
HubSpot publishes its licence prices. What it costs to set the system up so your team actually works in it is harder to find. Here are both, with a worked example.
Short answer
Expect two bills. The licence for Sales Hub Professional is around €90 per user per month, plus a mandatory onboarding fee of around €1,500. Implementation for a B2B company with 20 to 150 employees usually costs between €6,000 and €15,000, depending on data, integrations and the number of sales processes. For fifteen salespeople, the first year comes to roughly €27,000 to €29,000.
Two bills: the licence and the setup
Ask what HubSpot costs and you'll usually hear the licence price. That's half the story. There are two bills: what you pay HubSpot for the software, and what it costs to set the system up so your team can actually work in it.
The licence is the easy part. It's on HubSpot's website and depends on the package and the number of users. The setup is harder to estimate, because it depends on how you sell, how much data has to move and which systems HubSpot needs to talk to.
Below we go through both, with a worked example for a B2B company with fifteen salespeople.
What the licence costs
For a B2B sales team it's almost always Sales Hub, and usually Professional. Starter is cheaper, but lacks much of what a team selling through quotes and longer cycles needs, such as richer automation, multiple pipelines with their own rules, and custom reports.
| Package | Per user per month | One-off |
|---|---|---|
| Sales Hub Starter | around €15–20 | No mandatory onboarding |
| Sales Hub Professional | around €90 (annual billing) | Mandatory onboarding, around €1,500 |
| Sales Hub Enterprise | around €150 (annual billing) | Mandatory onboarding, around €3,500 |
These are indications as of October 2026. HubSpot changes prices and packages regularly, so always check hubspot.com for the current figure. Add Marketing Hub or Service Hub and the licence rises sharply, and Marketing Hub also charges by the number of marketing contacts.
Note the mandatory onboarding. That is guidance from HubSpot itself: someone from HubSpot walks you through the settings. The actual work, such as designing the pipeline, cleaning data and building integrations, is still largely yours. So it isn't an implementation.
What the setup costs
In the market you'll see HubSpot implementations quoted anywhere from a few thousand euros to well over €30,000. That spread makes sense. A sales team of eight coming off Excel is very different from three teams in two countries with an ERP integration.
For B2B companies with 20 to 150 employees, five things drive most of the price:
- How many sales processes you run. Do you sell both projects and repeat supply, or direct and through dealers? Then you often need two pipelines, each with its own stages, fields and reports.
- How much data has to move, and in what state. A clean export from Pipedrive moves in a day. Five Excel lists with duplicate companies, old contacts and columns everyone fills in differently take days. Cleaning is almost always the underestimated part.
- Integrations. Do quotes, orders or invoices from your ERP need to show in HubSpot? A standard marketplace connector is quick to set up. Custom price lists, discount rules or a separate quoting tool make it custom work.
- Reporting. A few dashboards for the sales manager are quick. A forecast the board uses every month needs stages and fields designed for it from the start.
- Training and go-live. An hour of explanation isn't training. Salespeople need to learn in their own deals, and in the first weeks after go-live someone has to answer questions and adjust.
We work at a fixed price between €6,000 and €12,000 for an implementation of two to three months. That covers migration, pipeline design, connection to quoting and ERP, reports and training. Where in that range you land depends on the five points above, and we agree it up front.
Example: fifteen salespeople on Sales Hub Professional
Take a technical wholesaler with 60 employees, fifteen of them in sales. Sales currently runs on Excel and the ERP. They want HubSpot Sales Hub Professional, with an ERP connection so salespeople can see order history.
| Item | First year |
|---|---|
| Licence: 15 × €90 × 12 months | €16,200 |
| HubSpot's mandatory onboarding | €1,500 |
| Implementation (fixed price, example) | €9,000 |
| App for the ERP connection (varies by app) | €600–2,400 |
| Total first year | €27,300–29,100 |
From year two you only pay the licence and the connector. If you want someone to look after the system afterwards, management comes on top. More on that below.
It also takes your own people's time. During the project, plan on two to three hours a week from the sales manager or internal lead, and half a day of training per salesperson.
The costs you won't see on the quote
The most expensive HubSpot implementation is the one nobody uses a year later. It happens more often than you'd think, and almost always for the same reason: after go-live, nobody owns it. Fields fill with junk, stages stop meaning anything, and salespeople go back to their own lists. Then you pay €16,000 a year in licences for a system nobody looks at.
Other costs that often get missed:
- Extra users. A new salesperson, or inside sales wanting to create quotes too? Every paid user counts.
- A higher tier for one feature. Sometimes a feature you really need is only in Professional or Enterprise. Check before, not after go-live.
- Data that has to be cleaned later anyway. Migrate everything "because you can" and you'll clean it up a year later.
- Dependence on one employee. If only the colleague who set it up knows how it works, and they leave, you start again.
How to keep costs under control
- Start small. First map how you sell and what you really need. A two-week audit or selection costs a fraction of an implementation and stops you paying for things you won't use.
- Ask for a fixed price and a fixed scope. An hourly rate with no ceiling is an open end for you. With a fixed price you know what you get and what it costs.
- Don't migrate everything. Active customers, open deals and the last two or three years of history are usually enough. Archive the rest.
- Phase it. Get sales working first, then marketing. That way you only pay for Marketing Hub once sales actually uses the system.
- Agree up front who looks after it. In-house or external, but settle it before the project starts.
Implementation, then management
A CRM isn't a one-off purchase. After go-live come new salespeople, new products and new questions from management. Someone has to keep the data clean, adjust automations and review the reports.
That can be an employee, but for most companies this size it isn't a full-time job. We run CRM management for €1,800 a month for up to 16 hours, three months fixed, then cancellable monthly. In Outsource HubSpot management or hire an admin? we lay out that choice.
